Navigating the Realm of Research Administration: Rookies in Research Administration Unite

The 2023 SRAI Annual Conference in Seattle played host to our first-ever presentation titled "Rookies Unite: New to Research Administration," where we, as self-identified semi-rookies/semi-professionals in the field were able to share valuable insights and strategies for those embarking on their journey as research administrators. The session aimed to accomplish two primary objectives: comparing entry points for newcomers in the research administration field and within SRAI, and discussing shared challenges across institutions to develop effective strategies for networking and joint professional growth.

Comparing Entry Points
One of the key takeaways from the presentation was the diverse entry points available for all of us when we stepped into the research administration arena. All three of us had different backgrounds prior to research administrations: Lyset had previous experience as a bookkeeper, Ceci as a procurement specialist for a university department, and Grace had experience as a student affairs officer. Some of our audience members also shared their diverse background: MBA students, clinical/research associate, teachers, etc. 

Whether transitioning from academia, industry, or another field, attendees learned that the skills acquired in previous roles could be valuable assets in their new roles. The session emphasized the importance of recognizing and leveraging transferable skills, creating a bridge between past experiences and the demands of research administration.

Shared Challenges and Strategies
The shared challenges discussed during the presentation underscored the common hurdles faced by newcomers across various institutions. Challenges such as navigating complex regulatory landscapes, mastering grant proposal processes, and adapting to organizational cultures were identified. To address these challenges, one of the key resources we recommended was creating a supportive network within and beyond our department, whether reaching out to the RESADM list serv community, colleagues in central office, or those from other institutions (you may have met someone new at SRAI Conference!). Networking opportunities, mentorship programs, and collaborative projects were proposed as effective strategies for overcoming obstacles and fostering professional growth.

What I Wish I Knew Then, What I Know Now as a Research Administrator
One of the topics not explicitly described but one that is just as important is our personal reflections on what we wished we had known when starting our careers in research administration. Again and again, throughout the presentation, we emphasized the importance of building strong relationships with stakeholders (e.g., principal investigators, colleagues in other departments and institutions), understanding the intricacies of budget management and time management (especially if your role covers cradle-to-grave management), and the significance of continuous learning in an ever-evolving field (just think of the Data Management and Sharing Plan changes we’ve had in the last year!). We hope that these reflections serve as valuable lessons for those who are starting out in the field, offering practical advice and encouragement as they embark on their own journeys.

Resources for New Research Administrators
Lastly, we highlighted essential resources available to support professional development of research administration rookies. SRAI itself was emphasized as a hub of knowledge, offering webinars, workshops, and networking opportunities. Other recommended resources included online training programs, mentorship initiatives, and industry publications. We can’t stress enough the significance of staying informed about the latest regulations, best practices, and technological advancements – as well as networking! – to thrive in the dynamic landscape of research administration. 

Overall, we hoped that the "Rookies Unite" presentation at the 2023 SRAI Annual Conference provided an invaluable platform for new research administrators to gain insights into the field and connect with experienced professionals. By comparing entry points, discussing shared challenges, and offering personal reflections, the session aimed to equip attendees with a roadmap for navigating the complexities of research administration. As research administration rookies embark on their careers, armed with newfound knowledge and a supportive network, they are well-positioned to contribute meaningfully to the advancement of research in their respective institutions and beyond.
